Connect a mailbox

Your old mailbox, inside Kauthar's shared inbox

Keep your address, keep your mail. Connect your current mailbox from Google, Microsoft, Apple or any IMAP provider and it appears in the shared inbox next to the team's other mailboxes, where any authorised member replies from Kauthar in that mailbox's name.

The problem and the solution

The problem

Three addresses, three windows, and who replies to what?

Sales mail on Gmail, support on Outlook, the official address on the domain. Each open somewhere else, nobody knows whether a colleague already replied, one message is lost and another answered twice.

The solution with Kauthar

Connect each mailbox once and forget the windows

From the Mailboxes screen you choose how to connect: Google or Microsoft in one click, Gmail with an app password, iCloud with an app-specific password for which Kauthar sets the servers itself, or any IMAP and SMTP server. From then on the team follows every mailbox in one place with labels, assignment and suggested replies.

What you gain

What your business gets

  • Google and Microsoft in one click

A secure connection through your Google or Microsoft account without typing your password into Kauthar, revocable from that account at any time.

  • Gmail and iCloud with an app password

The app password from Google or the app-specific password from Apple is created once and pasted into Kauthar; servers and ports are preset.

  • Any IMAP/SMTP server

Your hosting company's mail or any other provider: server address, port and username, and Kauthar tests the connection before saving and tells you what is wrong if anything.

  • Your mail stays with your provider

Kauthar shows a synced copy of the mailbox; delete only moves to the trash, and disconnecting stops the sync without touching your original mail.

Three steps

How it works

  1. 01

In the Business email service open Mailboxes, then Connect your mail, and pick the method that matches your provider.

  2. 02

Press the Google or Microsoft button, or paste the app password; Kauthar tests the connection and saves the mailbox.

  3. 03

Choose which team members see this mailbox, then follow messages and replies from the shared inbox.

Real examples

How your business uses it

  • Consulting firm

Three partners with three Gmail addresses connect them into one inbox, each mail is assigned to its owner, and no client message gets lost in a travelling partner's mailbox.

  • Real-estate office

The office mailbox on Outlook and the listings mailbox on Gmail show side by side, and the receptionist answers enquiries in the name of the mailbox they arrived in.

  • Training centre

The admissions mailbox on iCloud is connected with an app-specific password in two minutes, and the admissions officer replies from it with automatic labelling of applications.

FAQ

Frequently asked questions

Do I type my normal Gmail password into Kauthar?

No. You connect through your Google account directly, or create an app password in your Google settings and paste it, and revoke it there whenever you like.

Why does iCloud reject my Apple account password?

Apple requires an app-specific password for third-party software. You create it once in your Apple account and Kauthar sets the iCloud servers automatically.

What happens when I change the password at my provider?

The mailbox turns red with the reason it stopped, and you reconnect with the new password from the same button without losing anything.

Does deleting in Kauthar delete the message from my original mail?

Delete moves the message to your provider's trash folder only, exactly like any mail program.

How many mailboxes can I connect?

As many as your Business email plan allows; the current usage shows at the top of the Mailboxes screen.

Do I need mail on my own domain?

No. Connecting works with any existing mail. If you want addresses on your domain, Kauthar creates them for you in the same Business email service.
